TERMS OF SERVICE

These Terms and Conditions govern the use of the “Online Reservation System” (hereinafter referred to as “the System”) operated by our hotel. Please read and agree to the following terms before using the System.

Article 1 (Compliance with Basic Rules)

When using the System, customers must comply with general internet etiquette, moral standards, and technical rules. Use of the System for commercial purposes, including fee-based reservation services, is strictly prohibited regardless of intent.

Article 2 (Action Against Violations)

If a user engages in behavior deemed inappropriate by the hotel, such as actions causing trouble or harm to others, or interfering with the hotel’s services, the hotel reserves the right to deny use of the System and its services.

Article 3 (Impact of User Environment)

The System is intended for users with properly configured email settings. The hotel assumes no responsibility for issues arising from improper configurations or any problems related to the user’s computer environment beyond the hotel’s control.

Article 4 (Eligibility to Use the System)

Only customers who agree to these Terms and Conditions may use the System. By completing a reservation through the System, users are deemed to have agreed to these terms and are expected to comply with them.

Article 5 (Services Provided by the System)

The System allows reservations for certain accommodation packages provided by the hotel via the official HOTEL BIACLYN HAKODATE website operated by Sovereign Inc.

Article 6 (Compliance with Hotel Policies)

Guests must comply with the hotel’s accommodation agreement and house rules when using any reserved accommodation packages.

Article 7 (Disclaimer on Service Priority)

The System does not offer priority over other reservation channels (e.g., phone, third-party reservation sites). Reservations may not be available in cases of full occupancy or other conditions.

Article 8 (User Responsibility)

Customers are fully responsible for any actions taken through their email accounts, regardless of intention or negligence. The hotel assumes no liability for damages caused by customers to third parties, unless due to the hotel’s fault. If a customer causes damage to the hotel or the System through any of the following acts, the hotel reserves the right to claim compensation:

  • Violation of these Terms, accommodation agreements, or hotel policies
  • Transmission of harmful programs
  • Misuse of third-party information
  • Unauthorized commercial use
  • Violation of any applicable laws

Article 9 (Reservation Confirmation)

A reservation is considered complete when the customer submits a reservation and receives a confirmation email from the hotel. If the confirmation email is not received due to communication issues or incorrect email input, the reservation may not be valid.

Article 10 (Modification and Cancellation)

To change or cancel a reservation, please use the System. If unable to do so, contact the hotel directly. However, if cancellation is done by phone, no cancellation notification will be sent.

Article 11 (Cancellation Fees)

Cancellation fees will be charged according to the hotel’s accommodation agreement if the cancellation is due to reasons attributable to the customer.

Article 12 (Requirements for Use)

Use of the System requires:

  • An email account capable of sending and receiving emails
  • A computer or smartphone with internet access

Article 13 (Reservation Application)

Customers must fill in all required personal information accurately. Incomplete forms may result in invalid reservations.

Article 14 (Changes to the System)

The hotel may change the content or operation of the System without prior notice if deemed necessary. Please check these terms before each use. Only the revised terms will apply after changes.

Article 15 (Temporary Suspension)

The hotel may suspend the System temporarily without prior notice in the following cases:

  • Maintenance or construction
  • Natural disasters or emergencies
  • Other operational reasons

Article 16 (Governing Law)

These Terms and the use of the System shall be governed by the laws of Japan.

Article 17 (Revisions to the Terms)

These Terms are considered standard contract terms under the Japanese Civil Code. Changes may be made when in the general interest of the users or for valid reasons, and will take effect on the date specified on the hotel’s website.

Article 18 (Effective Date)

These Terms shall take effect from June 17, 2025 (Japan Standard Time).
